The ruler in Word 2016 displays horizontally across the top of your workspace, and can be used to align text, graphics, tables, and other elements in your document.

Using the Ruler. Microsoft Word is notoriously bad and difficult for formatting tables. There has been great improvement in the last few versions but still many users do not know the processes or short cut keys. This guide will demonstrate: How to have basic control over formatting of data in a table using the ruler. Click on the View tab on the top menu bar to change the ribbon. In the Views section, click on Print Layout. Within the Show section, click on Ruler so that a tick-mark appears inside the small square on the left. Word now displays the horizontal ruler above the text.

To display the ruler if you can’t already see it, go to the View tab and make sure that Ruler is checked (in the Show group).

Similarly, you can hide the ruler in order to make more room for your document by unchecking the checkbox.

You definitely need an additional “tool” to prevent the line from skewing, and of course, you won’t use a traditional ruler to keep the pointer aligned. On Microsoft Word, you can create a straight line easily by using a mouse and keyboard — something that your computer should already have. Step 5: Find out and select the Ruler item in the commands list. Step 6: Click the Add button. Step 7: Click the OK button. Then the Ruler button is added at the Quick Access Toolbar in the Message window. See the following screen shot: Step 8: Click the Ruler button, and then the ruler appears between the message header and message body at once.
